POSITION SUMMARY
The Membership and Community Navigator is the first point of connection for members, volunteers, and the public. This role ensures that communication is clear, timely, and representative of the Federation’s inclusive values. By facilitating smooth communication across departments, welcoming new members, and supporting volunteers, the Navigator strengthens the relationships that power our community. They are responsible for tracking member trends, improving onboarding and retention, and ensuring volunteer and member inquiries are met with care and clarity. This position reports to the Executive Director and works closely with the programming, communications, and admin teams to create a cohesive and welcoming membership experience.
CORE RESPONSIBILITIES
Membership Coordination and Messaging (6 hrs/week | 24%)
- Welcome new members with personalized communications.
- Engage with departing members and encourage future reconnection.
- Track renewals and monitor trends in membership engagement.
- Prepare quarterly summaries of membership patterns and feedback.
- Implement campaigns including drives, referrals, and outreach to schools and community groups.
- Run membership retention programs and membership orientations.
Volunteer Coordination (5 hrs/week | 20%)
- Serve as the Federation’s first point of contact for volunteer inquiries.
- Create clear volunteer job descriptions and update listings regularly.
- Match volunteers with appropriate team members and tasks.
- Maintain up-to-date rosters and documentation for all volunteers.
- Track volunteer hours and coordinate appreciation efforts.
Admin, Planning, and Outreach (5 hrs/week | 20%)
- Organize and attend weekly team meetings.
- Contribute to surveys, reports, and feedback collection.
- Develop member drives and strategies.
General Communications (4 hrs/week | 16%)
- Respond to general inquiries via email and social platforms.
- Maintain and update the Federation’s Q&A document to ensure internal consistency.
- Route questions to the correct departments and follow up to ensure completion.
- Identify frequently asked questions and communication gaps.
- Track communications data to spot trends and recurring issues.
Team Coordination (4 hrs/week | 16%)
- Monitor task progress across departments using CRM
- Offer proactive assistance to team members when capacity issues are detected.
- Ensure cross-team requests are completed on time.
- Track shared communication tasks and delivery metrics.
️ Round Tables (2 hrs/week | 8%)
- Organize 3 festival-related round tables annually.
- Organize 3 writing community round tables annually.
- Coordinate scheduling, outreach, and logistics for each event.
QUALIFICATIONS
- Demonstrated ability to solve problems and think critically.
- Demonstrated experience working in communications.
- Confidence and experience in learning digital systems. Experience with google workspace, CRM systems, and email ticket systems an asset.
- Proven track record of membership/customer service. Experience with membership drives and management an asset.
- Confidence in group facilitation and meeting management.
- Proven ability to actively listen and communicate with clarity and empathy, particularly when supporting individuals with varied needs or questions.
- A consistent, professional tone in both written and verbal communication, paired with an open-minded approach to new ideas and constructive feedback.
- Experience working with or supporting writers, artists, or community members from a range of backgrounds, identities, and geographies.
- Ability to manage time and tasks independently while contributing regularly to collaborative projects, meetings, and shared platforms.
- Demonstrated ability to remain calm and focused during shifting priorities or when navigating uncertainty—using thoughtful judgment to propose or implement solutions.
- A track record of maintaining organized communication records, responding to inquiries in a timely manner, and following through on commitments.
- Active engagement with the literary arts—such as reading broadly, writing creatively, participating in literary communities, or attending writing events.
- Demonstrated commitment to building inclusive, welcoming spaces—through volunteer work, community engagement, peer mentorship, or facilitation of diverse groups.
